Description of Registration Process

EHTP’s registration process is quick and simple. It ensures that returning participants will be registered in a timely manner so that they can start their programs in September. Moreover, it guarantees that new applications will be processed without delays. New participants are added to the EHTP’s Rolling Admissions on a first-come-first-serve basis. As the need grows for high-quality after-school programs aimed at the youth of East Harlem, the EHTP’s goal is to make sure that every seat available is filled all year round, and that all vacant seats are filled within a reasonable amount of time.

Rolling Admissions at the EHTP is simple:

  • Applications are received and date-stamped.
  • Applications are placed on rolling admissions in the order they are received.
  • At the end of every month, our staff reviews seat availability.
  • On the basis of the number of seats available within the grade cohorts, our staff goes through the rolling admissions list and pulls applications off it.
  • Parents/Guardians are called and scheduled for a registration/orientation meeting.
  • At the registration/orientation meeting, they are scheduled for intake and assessment.
  • Once they complete their intake and assessment, they are scheduled to begin the program the following working day.

Those Parents/Guardians that are not able to attend the registration/orientation meeting are placed back on rolling admissions. As soon as there is a new opening, they are called in once more. If they do not attend the second scheduled registration/orientation meeting, their application is removed from rolling admissions and placed in the EHTP’s Inactive Applications records. These applications are held for a year.

Completing the Rolling Admissions process is the only way to register new participants in the EHTP’s programs. Priority is given to siblings of registered participants. For enrollment, a younger sibling just turning 5 is moved directly into the after-school program at the request of the parent/guardian, so long as all paperwork has been properly received.

To register your child in our program the following documents are required:

  • Completed application form.
  • Most recent report card (where appropriate).
  • Proof of health insurance.
  • Proof of immunization.
  • Signed medical form.

In order for a child to continue in the program, these documents must be updated annually and submitted at the time of registration. The EHTP’s assessment process entails the reviewing of report cards to establish each participant's yearly goals. Thus, we require parents/guardians to submit copies of all report cards received throughout the year. We also require that the parents/guardians sign a release form authorizing the EHTP staff to contact their child’s school for information and to speak to staff working with their child.

The EHTP is a free program that runs Mondays through Fridays from 3:00 p.m. to 6:00 p.m. for grades K–12. Participants who are eligible for and receive tutoring services will be required to attend the program and meet with their tutor once a week from 6:30 p.m. to 8:00 p.m., or on Saturdays, either from 10:00 a.m. to 12 noon or from 1:00 p.m. to 3:00 p.m. Some of the EHTP’s High School programming is offered on Saturdays, the schedule varying from semester to semester. Once registered in the program, participants receive a detailed schedule outlining their activities and timetables. There are other limited program activities offered on Saturdays for those who are already program participants during weekdays.

Summer Program Registration:

The EHTP generally distributes Summer Program applications in April. Priority for enrollment is given to children attending the after-school program. New applicants are placed on a summer application list. On the basis of the seats available after returning participants are registered, new applicants are called in for an orientation meeting. Upon its completion, they are registered for the summer program. Applications not considered for enrollment due to limited seat availability are passed onto our rolling admissions list in date-stamped order. They then go through the same process described for rolling admissions. Our Summer program is offered only for children between ages 6 and 12.
